What it is
A unified client profile that consolidates every piece of information an insurance agency needs — from policy details and claims history to commission records and E&O documentation — into one accessible view.
Each client profile is organized into seven purpose-built tabs: Overview, Policies, Activity, Documents, Claims, Commissions, and Loss Runs. Instead of searching across disconnected systems, every interaction and record lives under a single client. The Overview tab gives you an instant snapshot including total premium, active policies, and upcoming renewals.
Every action on a client record is logged with a timestamp, user, and description — creating a comprehensive audit trail. When an E&O claim arises, export the full activity history as a PDF to demonstrate due diligence. This is not an afterthought; it is foundational to how the system tracks client interactions.
Core capabilities
Seven dedicated tabs organize every dimension of a client relationship.
Overview shows premium totals and key dates. Policies lists every active and expired policy. Activity logs calls, emails, and notes chronologically. Documents stores uploaded files. Claims links filed claims. Commissions shows earned revenue. Loss Runs stores parsed loss history.
Add a new policy directly from the client profile in three guided steps.
Select the line of business, enter policy details like carrier, effective dates, and premium, then assign producers with commission splits. The policy is immediately linked to the client and visible across the system.
Every client interaction is logged and exportable for E&O defense.
The activity tab records every call, email, document upload, policy change, and note with timestamps and user attribution. Export the full trail as a formatted PDF for legal review or carrier inquiries.
Assign multiple producers to a single client with defined roles.
Commercial accounts often involve a primary producer and account managers or co-producers. Each person's role and commission split is visible on the client record, ensuring accountability and transparent payouts.
Upload, organize, and retrieve client documents from the Documents tab.
Store certificates of insurance, signed applications, endorsements, and correspondence. Documents are tagged by type and date, making retrieval instant during client calls or audits.
See upcoming renewals across all client policies with advance notice.
Policies approaching their expiration date surface in the client overview and in the agency-wide renewal queue. Configurable advance windows give producers time to remarket, negotiate, or bind renewals before lapses occur.
What they don't do
When policies live in the AMS, documents in a shared drive, and notes in email, piecing together a complete client picture takes 15 minutes instead of 15 seconds.
Maintaining a separate E&O diary in a spreadsheet or word document is error-prone and often the first thing to slip during busy renewal seasons.
Physical file cabinets make remote work impossible, create retrieval delays, and offer zero search capability when a client calls with an urgent question.
When commission information lives in a separate accounting system, producers cannot see earned revenue on the client they are actively servicing.
Older agency management systems require clicking through five or six separate screens to view what Insurstein shows in a single tabbed profile.
Without proactive renewal alerts, agencies discover expiring policies only when the client calls to complain or the carrier sends a cancellation notice.
What it takes off your plate
Calls, emails, and document uploads are logged to the client's Activity tab automatically — no manual diary entries required.
When a new policy is added through the wizard, it is linked to the client, the assigned producers, and the carrier record simultaneously.
Insurstein monitors policy expiration dates and surfaces upcoming renewals in the client overview and the agency-wide dashboard.
Earned and expected commissions are visible directly on the client's Commissions tab, tied to specific policies and carriers.
Parsed loss run data is stored under the client's Loss Runs tab, giving underwriters and producers instant access to claims history during remarketing.
Export a client's complete activity history as a timestamped PDF with one click for E&O defense, carrier audits, or compliance reviews.
A day in the life
8:15 AM
Open the dashboard and see 6 policies renewing in the next 30 days. Click into the first client profile to review their current coverage and claims history.
9:00 AM
After speaking with the carrier about a renewal quote, add a note to the client's Activity tab. The timestamp and your name are recorded automatically.
10:30 AM
A client just bound a new workers comp policy. Use the 3-step wizard from their profile: select Workers Comp, enter the carrier and premium, assign the producer split.
1:00 PM
A client requests proof of coverage for a contract. Upload the COI to their Documents tab and email it directly from the profile.
3:00 PM
The agency owner asks for an activity export on a disputed account. Export the full audit trail as a PDF covering every logged interaction over the past two years.
