Frequently asked questions

Common questions about agency management systems, insurance technology, and how Insurstein works.

Getting Started

What is an AMS (Agency Management System)?

An Agency Management System is software that helps insurance agencies manage clients, policies, commissions, documents, and day-to-day operations in one place. It replaces spreadsheets, filing cabinets, and disconnected tools with a unified platform designed for the insurance workflow.

What's the difference between an AMS and a CRM?

A CRM (Customer Relationship Management) system tracks contacts and sales interactions but lacks insurance-specific functionality. An AMS includes everything a CRM does plus policy management, commission tracking, ACORD form generation, certificate issuance, renewal workflows, and carrier integrations that generic CRMs simply do not support.

Who needs insurance agency management software?

Any independent insurance agency — whether focused on personal lines, commercial lines, or both — benefits from an AMS. Agencies that are still running on spreadsheets, paper files, or outdated legacy systems typically see the largest productivity gains when they adopt a modern AMS.

How long does it take to set up an AMS?

Setup time depends on the size of your book and how much historical data you need to migrate. Many agencies can be up and running with core functionality within a few days. Full data migration from a prior system — including policy history, documents, and commission records — may take a few weeks depending on data volume and format.

Features & Capabilities

What is AI document parsing for insurance?

AI document parsing uses machine learning to extract structured data from unstructured insurance documents like loss runs, ACORD forms, and policy declarations. Instead of manually re-keying information, the AI reads the document and populates the relevant fields in your system automatically.

How does commission reconciliation work?

Commission reconciliation is the process of matching carrier commission statements against the commissions your agency expected to receive based on policy records. An AMS imports carrier statements, auto-matches line items to policies, and flags discrepancies so you can identify missing or incorrect payments.

What are ACORD forms and why do they matter?

ACORD forms are standardized insurance documents maintained by the Association for Cooperative Operations Research and Development. They provide a common format for applications, certificates, and policy data exchange between agencies, carriers, and MGAs. Using ACORD forms ensures consistent data formatting and reduces errors during submissions.

What is a certificate of insurance (COI)?

A certificate of insurance is a document that summarizes an insured's coverage for a third party — such as a landlord, general contractor, or lender — who needs proof that the coverage exists. COIs are one of the most frequently requested documents in a commercial agency.

How does renewal automation work?

Renewal automation tracks upcoming policy expirations and triggers workflows at configurable intervals before the renewal date — typically 90 days out. The system assigns renewal tasks to producers or CSRs, sends reminders, and tracks the renewal through each stage until the policy is either renewed, rewritten, or lost.

What is surplus lines compliance?

Surplus lines refers to coverage placed with non-admitted carriers when admitted carriers decline or cannot provide adequate coverage. Compliance requires documenting the diligent search process, tracking declinations, and filing surplus lines taxes with the appropriate state authority. An AMS automates this record-keeping and creates an audit trail.
